These Terms & Conditions ("Terms") govern your use of the WoofBook platform and related services (the "Service"). By signing up for WoofBook, you agree to these Terms. If you do not agree, please do not use the Service.
1. Who we are
WoofBook is operated by WoofBook App Ltd, a company registered in England and Wales with company number 17157714. Our registered office is at Flat 2102, Legacy Point, 4 Victoria Road, London, W3 6FH. You can contact us at hello@woofbook.app.
2. Your account
To use WoofBook you need to create an account and provide accurate information. You are responsible for keeping your login details secure and for all activity that happens under your account. Let us know immediately if you think your account has been accessed without your permission.
3. Free trial
All new subscriptions start with a 14-day free trial. During the trial you can use WoofBook without charge. We will ask for payment details at sign-up, but we will not bill you until the trial ends. You can cancel at any time during the trial and you will not be charged.
4. Subscription and billing
- After the free trial, your chosen plan (Pup, Pack, or Top Dog) will renew automatically at the price shown on our pricing page, either monthly or annually as you choose.
- All prices are in GBP and exclude VAT unless stated otherwise. VAT will be added at the prevailing rate where applicable.
- Payments are processed by Stripe. Card details are handled directly by Stripe and not stored on our servers.
- We may change our prices from time to time. If we do, we will give you at least 30 days' notice before any change takes effect. Your next renewal after that notice period will be at the new price.
5. Integrated payment services
WoofBook lets you collect payments from your customers (Pawrents) for the dog care services you provide, using third-party payment processors integrated into the platform. This section explains how that works and who is responsible for what. It is separate from Section 4, which covers the subscription fees you pay us for WoofBook itself.
- Payment processors: Payments from your customers are processed by third parties, currently Stripe and Stripe Connect for card payments. To use these features you will need to accept the relevant processor's own terms and complete their onboarding and verification checks. WoofBook is not a party to the contract between you and the payment processor.
- You are the merchant of record for every transaction between you and your customers. You are responsible for the services you sell, including pricing, delivery, complaints, and customer support, and for refunds, chargebacks, and any disputes raised by your customers.
- Your wider obligations: You must comply with all laws that apply to your business, including consumer protection, tax (VAT and others), and any licensing or registration required to operate a dog care business in your jurisdiction.
- Our role: WoofBook provides the software interface through which payments are initiated, reconciled, and reported. We are not a payment institution and we are not a party to the underlying payment transactions between you and your customers. We do not hold or control your customers' funds; funds flow directly from the customer's card, through the payment processor, to you.
- Fees: Payment processing fees are set and charged by the payment processor at their published rates. In addition, WoofBook charges a platform fee of 0.75% on customer card transactions processed through our integration. No WoofBook platform fee applies to Direct Debit transactions; you pay only the payment processor's standard Direct Debit fees. The platform fee, where applicable, is deducted at the time of payment alongside the processor's fees, and the net amount is paid to your bank account on the processor's standard payout schedule.
6. Data migration
Data migration is not included. You are responsible for transferring your own client, pet, booking, and staff data into WoofBook. We recommend using your 14-day free trial as the window to move your data over, so you can test the platform with your real information before you commit.
7. Cancellation and refunds
- Cancellation: You can cancel your subscription at any time from your account settings or by contacting us at hello@woofbook.app. Cancellation takes effect at the end of your current billing period.
- Monthly plans: We do not offer refunds for the current month. You will retain access to the Service until the end of the month you have paid for.
- Annual plans: If you cancel an annual plan within 14 days of the billing date, we will refund the unused portion of the annual fee on a pro-rata basis. After 14 days, annual plans are non-refundable.
8. What WoofBook provides
We will use reasonable efforts to keep the Service available, secure, and performing as described on our website. We aim for 99.5% uptime, but we do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance where possible.
9. Your responsibilities
You agree not to:
- Use the Service for any unlawful purpose or in a way that could harm WoofBook or other users.
- Attempt to reverse-engineer, copy, or interfere with the Service.
- Share your account with people outside your organisation.
- Upload content that is harmful, offensive, or infringes anyone's rights.
- Use the Service to send unsolicited marketing messages or spam.
10. Your data
You remain the owner of all data you upload to WoofBook, including information about your clients, pets, staff, and business operations. We process your data as a "data processor" on your behalf in order to provide the Service. Our handling of personal data is described in more detail in our Privacy Policy.
You can export your data at any time from your account. If you cancel your subscription, we will retain your data for up to 90 days to allow you to reactivate, after which it will be permanently deleted.
11. Our intellectual property
WoofBook, our logo, and the Service (including its design, code, and content) are owned by WoofBook App Ltd and protected by intellectual property laws. We grant you a non-exclusive, non-transferable right to use the Service for your business while your subscription is active.
12. Limitation of liability
To the fullest extent permitted by law, WoofBook's total liability to you for any claim arising from your use of the Service is limited to the amount you have paid us in the 12 months before the claim arose. We are not liable for any indirect, consequential, or incidental loss (for example, loss of profit, loss of data, or business interruption). Nothing in these Terms limits our liability for fraud, death, or personal injury caused by our negligence, or any other liability that cannot be excluded under UK law.
13. Suspension and termination
We may suspend or terminate your account if you breach these Terms, fail to pay, or use the Service in a way that puts the platform or other users at risk. Where reasonable, we will give you notice and a chance to fix the issue first.
14. Changes to these Terms
We may update these Terms from time to time. When we do, we will revise the "last updated" date at the top of this page. If the changes are significant, we will let you know by email or through a notice in the Service at least 30 days before they take effect.
15. Governing law
These Terms are governed by the laws of England and Wales. Any dispute will be resolved in the courts of England and Wales, unless you have statutory consumer rights that require otherwise.
