This Privacy Policy explains how WoofBook ("we", "us", "our") collects, uses, and protects your personal information when you visit our website at woofbook.app (the "Site") or use the WoofBook platform (the "Service"). We are committed to handling your data responsibly and in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
WoofBook is operated by WoofBook App Ltd, a company registered in England and Wales with company number 17157714. Our registered office is at Flat 2102, Legacy Point, 4 Victoria Road, London, W3 6FH. We are registered with the UK Information Commissioner's Office (ICO) as a data controller under registration number ZC123885. For the purposes of UK data protection law, WoofBook is the "data controller" of personal data collected through this Site, and a "data processor" of personal data that our customers (dog care businesses) upload into the Service about their own clients and pets.
2. What information we collect
Information you give us
- Your name, business name, email address, and any details you include when you contact us at hello@woofbook.app to enquire about WoofBook.
- Billing details (company name and address) if you become a paying customer. Card details are handled directly by Stripe and never touch our servers.
Information we collect automatically
Our hosting provider (Vercel) keeps standard server logs for a short period. These include your IP address, browser user agent, and the pages you request, and are used to operate the Site, diagnose technical issues, and protect against abuse.
We also use Cloudflare Web Analytics to understand how the Site is being used. Cloudflare Web Analytics collects aggregated, anonymised traffic data (such as page views, country of origin, and referring sites). It does not use cookies, does not fingerprint visitors, and does not track individuals across other sites.
3. How we use your information
We use your personal information to:
- Respond to enquiries and support questions you send to us.
- Set up and manage your WoofBook account if you become a customer.
- Process payments and send invoices.
- Send important service-related messages (billing, security, and policy updates).
- Operate, secure, and improve the Site.
- Comply with our legal and regulatory obligations.
4. Lawful bases for processing
Under UK GDPR, we rely on the following lawful bases:
- Contract: to provide the Service you have signed up for and process your payments.
- Legitimate interests: to operate, secure, and improve our Site and Service, and to respond to people who contact us about WoofBook.
- Legal obligation: to keep records required by law (for example, for tax and accounting purposes).
5. Who we share your information with
We do not sell your personal data. We share it only with trusted service providers who help us run our business, and only to the extent they need it. These currently include:
- Hosting: Vercel, for hosting both the Site and the WoofBook platform.
- Domain, DNS, and analytics: Cloudflare, which manages the woofbook.app domain and provides cookie-free, privacy-friendly web analytics for the Site.
- Email: Apple iCloud Mail, which hosts the hello@woofbook.app inbox where your enquiries and correspondence arrive.
- Payments: Stripe, for processing subscription and one-time payments from customers.
We may also disclose personal information if required to do so by law, or to protect our rights, property, or safety, or that of our customers or others.
6. Cookies
The Site does not set any cookies of its own. We use Cloudflare Web Analytics for basic traffic stats, which is designed to work without cookies or cross-site tracking, so no consent banner is required.
If we introduce cookies in the future (for example, to remember settings inside a customer dashboard), we will update this policy and, where required, ask for your consent before setting any non-essential cookies.
7. International transfers
Some of our service providers are based outside the UK. Where personal data is transferred outside the UK, we make sure it is protected by appropriate safeguards, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision recognised by the UK Government.
8. How long we keep your information
We only keep your personal data for as long as we need it for the purposes set out in this policy, or for as long as the law requires. In general:
- Enquiry emails sent to hello@woofbook.app: up to 24 months after our last interaction, unless you become a customer.
- Customer account data: for the duration of your subscription, and for up to 6 years after cancellation for tax and accounting purposes.
- Server logs: rotated within 30 days by our hosting provider.
- Website analytics data: aggregated and anonymised; no individual records are retained.
9. Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete your personal data, subject to certain legal exceptions.
- Ask us to restrict or object to how we use your data.
- Ask us to provide your data in a portable format.
- Withdraw your consent at any time, where we rely on consent.

If you are not happy with how we handle your personal data, you have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection. You can contact the ICO at ico.org.uk or on 0303 123 1113.
10. How we protect your information
We take security seriously. We use industry-standard measures to protect personal data, including encryption in transit (TLS), encrypted backups, access controls, and regular security reviews. No method of transmission over the internet is 100% secure, but we work hard to protect your information and will notify you of any data breach where required by law.
11. Children
Our Site and Service are not directed at children under 16, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "last updated" date at the top of this page. If the changes are significant, we will let you know by email or through a notice on the Site.
